URA Group Oy offers intralogistics, staffing and HR subcontracting solutions and personnel leasing with customer-specific tailoring. The company’s quality management system was audited and certified in 2025, and it achieved a rather exceptional result in the auditor’s assessment: zero deviations.
Structure is key in quality system audits
URA Group is a logistics expert organisation that offers customised intralogistics, personnel leasing and HR subcontracting solutions. Services are provided for locations such as freight terminals and warehouses, wholesale warehouses, the manufacturing industry and ports. The company operates across Finland, and its services enable the delivery of goods such as medicines, food and liquids from customers’ storage to recipients.
In 2025, URA Group achieved a major milestone as it was awarded the ISO 9001:2015 quality certificate. A lot of determined work had been done to obtain the certificate, and processes and data had been documented in the Rego system.
The feedback that URA Group received in the quality system audit was exceptionally good. The company believes that this is because the structures and documentation had been designed according to the certificate requirements from the get-go. Secondly, the company truly operates in the documented manner – the frameworks and practices have been built in a way that the company genuinely wants and is able to implement.
“An experienced auditor mentioned in their feedback that for the first time in their career, there were no deviations whatsoever. That’s also why we received the certificate exceptionally quickly, in just a few days after the audit,” says Timo Hukki, Logistics Engineer and Head of Production and Development at URA Group.
However, the certificate was not obtained simply for the sake of certification. The work done to achieve it is also beneficial for the business in a broader sense.
“It’s great that now, after the audit, we still have these useful and extensive materials at hand. We’re able to use them even more widely in the future, as a benchmark and a basis for our development work,” says Petri Leppänen, Development and Quality Manager at URA Group.
Safety is item no. 1 on every meeting agenda
URA Group’s business has grown at a steady, yet intentionally moderate pace since the company was founded in 2021. Customers have recognised and embraced the core benefits of the service: outsourcing intralogistics management improves the customer’s responsiveness to volume changes while also turning fixed costs into variable costs.
A critical element in URA Group’s business is its skilled, trained and motivated staff. That is why safety has also been a key factor in the business from the very beginning. As proof of this, safety is item number one on every meeting agenda.
“We promote safety as much as we possibly can. It’s important to us that every employee gets back home safely,” Hukki says.
Quality is another key focus, as in practice, URA Group’s business takes place on customer premises. The staff’s task is to handle either the customer’s or the customer’s customers’ goods.
“In a nutshell, the right goods must be in the right place at the right time. Quality is of course an important foundation and prerequisite in our line of business, but it can also bring competitive advantage,” Hukki says.
Rego supports communication across organisational boundaries
In spring 2024, URA Group started implementing the Rego HSEQ system and its Reporting, Quality management, Risk management and Competence management modules. Implementation has progressed gradually, at a measured pace alongside other development work.
Qreform’s Account Manager Sarina Pohjasto praises URA Group’s proactive approach to exploring and absorbing the system’s potential. Meetings were held more frequently right after implementation, and later on, regular maintenance meetings have been held approximately once a quarter. Qreform has also provided on-site training for URA Group.
“Cooperation and interaction with URA Group has been good throughout. Getting in touch has been easy and straightforward,” Sarina notes.
Currently, the system is used by over a hundred people at URA Group and its stakeholders. Employees play a key role in reporting safety and quality notifications. Work coaches at customer sites sign off the entries made in the system. Supervisors process and respond to reports and approve training.
The system is also used when launching new customer sites: a risk survey is carried out in collaboration with supervisors, and factors such as financial and management capabilities and the adequacy of human resources are evaluated. In addition, 100-day audits are carried out at new sites. Another new feature introduced are management review.
Customisable reports help to paint the big picture
For URA Group, one of the best things about Rego is that it helps to paint the big picture. It allows tracking the overall number of notifications and the progress of their processing, for example, along with viewing the competence matrices applied. Report templates have also been found handy.
“Rego’s reporting functionalities are good and the reports are easily accessible. The report templates are also smartly designed, as they can be customised to suit your own needs,” Hukki notes.
Due to the distinct features of URA Group’s business model, it has been useful that people other than URA Group’s own employees can also be added to processes in Rego.
“In risk management, for example, we can send customers an email about an issue that requires action on their part. The customer can view the action in question and mark it as completed,” Leppänen says.
For the future, URA Group hopes to continue growing its business with an upward trend, yet at a moderate pace, and to use Rego’s functionalities even more extensively. Requests for new functionalities are also actively communicated to Qreform, and joint development work continues.
